Everything you need to know about using the VestMed portal

Getting Started

Navigate to app.vestmed.com/login, enter your username and password, then click Sign In. You can check "Remember my username" to save your username for future visits.

Bookmark the login URL so you can return without typing the full address each time.

Your username stays the same across all sites. The password identifies which site you are accessing. If you have access to multiple sites, you will need the correct password for each one.

The Dashboard is the first screen after login. It shows:

  • MEQ Stats — counters for records Under PLHCP Review, completed Today, This Month, and All Time.
  • In Progress — MEQs started but not yet submitted by candidates.
  • Completed — All finished MEQs and FIT Test Records (FTRs) with results.

Click any candidate name in the Completed table to view their full record and download a PDF.

Managing Sites

Sites represent the physical locations or divisions within your organization. Each site has its own login credentials that candidates use to complete their questionnaires.

  1. Click Sites in the top navigation bar.
  2. Fill in the Site Name in the left panel.
  3. Enter a Candidate Username (shared with candidates).
  4. Create a Password specific to this site.
  5. Click the green + Add Site button.

The new site appears immediately in the Current Sites table.

Uncheck the Active checkbox next to the site in the Current Sites table. You can reactivate it at any time by checking the box again. Use the Show Inactive Sites toggle to view hidden sites.

Go to Sites, click a site name, and scroll to the Work Environment & Respirator Presets section. You can pre-fill Work Duration, Frequency of Work Duration, and Additional Protective Clothing. You can also allow candidates to modify these values if needed.

Candidates can only modify preset values if the "Allow candidate to modify these answers" checkbox is enabled.

Managing Users

  1. Click Users in the top navigation bar.
  2. Enter your own admin password to authenticate, then click the arrow.
  3. Select a User Type: Internal, External, or API Service.
  4. Enter the user's name, username, password, and email.
  5. Click + Add User to save.

Go to Users, click the user's name, and check the Assign box next to each site they should access. You can also toggle email notifications for each site from the same panel.

Admin-level access cannot be self-assigned. You must contact the VestMed Support Team to grant or revoke admin privileges for any user.

Uncheck the Active checkbox next to the user in the Current Users table. Use Show Inactive Users to view and reactivate them later.

FIT Test Records (FTR)

A FIT Test Record documents the respiratory fit test result for a worker — typically Pass or Fail. FTRs are stored alongside MEQs in VestMed and are accessible from the Dashboard.

  1. Click the green + FTR button in the top navigation bar.
  2. Select the site and candidate for the test.
  3. Complete the required fit test fields.
  4. Submit the record.

The completed FTR will appear immediately in the Dashboard Completed table.

In the Dashboard Completed table, click the candidate's name on any FTR row to open the full record. From there you can review all data and download a PDF copy.

The MEQ Process

A Medical Evaluation Questionnaire (MEQ) is required under OSHA 29 CFR 1910.134 to determine whether a worker is medically able to use a respirator. VestMed digitizes and manages this process end-to-end. See our full MEQ guide for details.

  1. The candidate logs in at app.vestmed.com using their site-specific credentials.
  2. They complete the MEQ covering health history and respirator-specific questions.
  3. A licensed PLHCP reviews the questionnaire.
  4. The PLHCP issues a result: Approved, Pass, or Further Review Required.
  5. Assigned site users receive an email notification with the result.

The Dashboard shows real-time MEQ pipeline status:

  • Under PLHCP Review — submitted and awaiting professional review.
  • In Progress — started but not yet submitted by the candidate.
  • Completed — approved and finished, with downloadable results.

The PFT Process

A PFT measures a worker's lung capacity and airflow to determine whether they can safely use a respirator. Results are reviewed against OSHA 29 CFR 1910.134 standards and stored in VestMed as part of the complete medical record.

A standard PFT captures:

  • FVC (Forced Vital Capacity) — total air forcefully exhaled after a full breath.
  • FEV1 (Forced Expiratory Volume in 1 second) — air exhaled in the first second.
  • FEV1/FVC Ratio — key indicator of obstructive lung disease.
  • Additional metrics as ordered by the PLHCP.

The PLHCP will issue one of three decisions:

  • Approved — cleared to use the specified respirator.
  • Approved with Restrictions — cleared with specific conditions noted.
  • Further Medical Evaluation Required — additional testing or specialist consultation needed before clearance.

Retesting frequency depends on the PLHCP's recommendation, the worker's health status, and the employer's written respiratory protection program. Typical intervals range from annually to every 3-5 years for stable, healthy workers in low-exposure environments.

Always consult your PLHCP or occupational health provider for the appropriate schedule for your workforce.

Billing & Settings

Click Billing in the top navigation bar to see the Invoice History table, which shows invoice number, bill date, total amount, and outstanding balance. Click the PDF icon next to any invoice to download it. Your current account balance appears in the top-right corner.

Go to Settings in the top navigation bar. Update your Company Name and/or Mailing Address fields, then click Confirm Changes to save.

Always click Confirm Changes before leaving the page — unsaved edits will be discarded.

Record Search

Click Search in the top navigation bar. Type a candidate name, site name, or keyword into the search box, and use date range filters to narrow results. Click any result row to open the full record.

Combine a date range with a site name for the most targeted audit results.

Record Batches let you view and manage records grouped together. Click the Record Batches button in the top-right corner of the Record Search page. This is useful for bulk reporting and compliance documentation.
